Job Overview
The ninetwentyfive Private Dining Coordinator will focuses on large group private dining experiences in the restaurant and is responsible for booking and detailing out these restaurant groups.
Responsibilities
Receive and respond to all customer inquiries. Negotiate and capture all profitable Private Dining business following the Private Dining Guidelines.
Respond to all customer inquiries that come in from 9am – 5pm within a two-hour time period and respond to all inquiries that come in outside that time period within two hours of the next business day.
When a phone number is given on a lead a call must be made. This is to be followed up with a personalized email regarding the event.
All correspondence must be logged in TripleSeat.
All inquiries need to be traced out with a task to keep the funnel of leads up to date.
Set up auto-replies to all inquiries that come in outside of business hours so that the customer knows we received their inquiry.
Solicits accounts in TripleSeat to find new and repeat groups the restaurant can host.
Work with Associate Director of Sales to reach out to all hotel groups to solicit for Private Dining Functions
Provide marketing collateral to clients and guests, which may include menus, function space room layout & seating capacity diagrams, and similar.
Prepare and send requested proposals, contracts and REO’s to clients.
Educate Guests on restaurant procedures, such as: meal guarantees, set-up styles, payment terms, available restaurant services, etc.
Coordinate all details to appear on each “Restaurant Event Order." (REO) Details to coordinate may include meeting room set-up specifications, food & beverage items, audio/visual equipment & billing details.
On a regular basis, distribute Restaurant Event Orders to all applicable service staff, including the Restaurant Manager, F&B Director, and Culinary Staff.
Coordinate site inspections as requested.
In a timely, accurate and consistent manner, document and report all sales activities as required.
Maintain an active list of top accounts to ensure continuous relationship building activities.
Participate in Sage Quarterly Sales Blitzes with special promotions for Private Dining
Attend weekly staff and EO meetings to communicate groups on the books for the next 10-day period.
Meet all deadlines for guaranteed information and prepayment.
Cross Sell the Hotel’s Banquet space and guest rooms when either we are not able to handle the group in the restaurant or the client is looking for a different experience that we can’t provide in the restaurant.
Partner with the Restaurant Manager & Culinary teams in providing a customer experience that exceeds the customers' expectations.
Effectively use sales resources and administrative staff
Contribute to the health and strength of a dynamic team culture
Exercise excellent communication, presentation, organization, time management and listening skills.
Perform other services and duties as requested. May be called on to host functions and participate in, or conduct sales blitzes, work extended hours to achieve departmental goals.
The Private Dining Coordinator will assigned revenue booking goals each quarter. Detailed Action Plans will be created and followed to achieve your revenue goals. (See Sages Sales Bonus Plan)
All other duties as assigned, requested or deemed necessary by management.
Qualifications
Education/Formal Training
Requires knowledge of the hotel's policies and procedures and the ability to determine course of action based on these guidelines.
Requires ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations.
Must possess communication skills in terms of the ability to negotiate, convince, sell and influence professionals and/or hotel guests.
Ability to drive to outside sales calls.
Excellent comprehension and literacy required to develop marketing plan, create menus and programs, etc.
Experience
Prefer 1-2 years previous hotel or hospitality experience in sales.
Salesforce CRM experience desirable (TripleSeat).
Knowledge/Skills
Must possess the ability to negotiate, convince, sell and influence professionals and hotel guests.
Ability to manage extensive amounts of information.
Knowledge of sales procedures associated with the hotel industry.
Excellent written skills sufficient to produce sales and marketing communication.
Excellent spoken and presentation skills
Considerable ability to listen effectively.
Ability to work effectively both independently and as a team.
