Job Overview

Assist sales managers in obtaining customer satisfaction by performing clerical and administrative duties relating to guest and hotel communications and sales. Responds to telephone and in-person inquiries regarding reservations, hotel information and guest concerns.

Responsibilities

  • Must be able to prioritize and work efficiently with limited supervision.

  • Must be detail oriented and able to multi-task efficiently.

  • Requires effective communication skills, both verbal and written

  • Strong team player, able to partner with management and other employees in a professional manner.

  • Responsible for ensuring effective communication between sales, management, internal/external guests, and the hotel operations.

  • Support the sales management department by giving administrative support to the department managers, and staff.

  • Answer incoming calls to the department and handle guest inquiries. Will also assist in other admin areas of hotel as assigned.

  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or banquet event orders).

  • Use sales techniques that maximize revenue while maintaining existing guest loyalty.

  • Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in software involved in the sales process.

  • Maintain customer database

  • Coordinate and schedule appointments for management.

  • Interact in courteous and professional manner with guests, vendors and associates.

  • Perform clerical duties such as typing correspondence and reports, filing, and answering phones.

  • Maintain and upkeep various filing systems, including vendor information where necessary.

  • Greet visitors/guests and answer questions and concerns; follow through either to resolution or refer to the appropriate manager.

  • Assure all incoming and outgoing correspondence is typed, received, mailed and/or filed as required.

  • Support administrative needs of groups with detailed list of processes with establishing blocks and managing inventory.

  • Make reservations for V.I.P. guests.

  • Provide administrative support for the hotel operations as needed.

  • Carries out supervisor requests in accordance with hotel policies and standard operating procedures.

  • Follow all appropriate policies and procedure while constantly striving to improve all standards of operations.

Qualifications

Education/Formal Training

High school diploma or vocational secretarial.

Experience

Previous sales, hospitality, and secretarial experience preferred.

Knowledge/Skills

  • Advanced knowledge/use of Microsoft Word applications: Word, Excel, Publisher and PowerPoint.

  • Alphabetizing, grammar and punctuation skills.

  • Standard business letter formats.

  • Strong editing skills.

  • Bending/kneeling - repeated bending and kneeling required while filing

  • Mobility - must be able to reach all areas of hotel to assist clients. Occasional standing. Occasional carrying and lifting of files and office items up to 25 lbs.
