Job Overview

Plan, organize and manage the in house details for group blocks and events of all sizes (e.g. Guest rooms, billing, menus, diagrams/set-up, etc.) Ensure maximization of room and meeting space, revenues, and profits while delivering a quality product. Focus on execution of all aspects of group reservations and event planning including coordination from the signing of a group contract forward such as group reservations/billing, BEO detailing, group amenities, weekly schedule of events.

Responsibilities

  • Oversees all details for hotel groups andevents to include processing of deposits, direct bill applications, credit card authorizations and coordination with accounting.

  • Oversee group reservations via rooming list or online reservation links

  • Close out all groups to include pickup in sales system (Delphi) and commission/rebates owed, including processing with accounting.

  • Leads BanquetEventOrder Meeting (BEO) for full accountability of groups/events service delivery process.

  • Understand group/eventagreements, catering pricing, attention to detail, basic math and proactive coordination of alleventplanning needs.

  • Delphi system management with accurate documents, accurate revenue, thoroughly organized and up to date in order to serve client and the employer in the most expedient, organized and knowledgeable manner.

  • Improve hotelevents revenues through; (a) participate in the development of new sales tools and systems, (b) participate in the analysis of the strengths and weakness of our competitions product, and (c) analysis, understanding, and satisfaction of our customers’ needs.

  • Monitor and control individual clienteventbudgets and details to maximize revenues and minimize expenses while ensuring delivery of a quality product.

  • Attend and lead preeventmeetings as needed. Coordinate the pre-eventmeeting between the client and hotel such as pre-eventtours, food tastings, and in –person BEO detailing with all participating parties.

  • Develop customer profiles and maintains an effective activity follow up system including deadlines calendars and references resulting in superior account service and increased revenues.

  • Develops strong customer relationships through appropriate client communication and the use of accurate, professional, courteous and ethical interpersonal interaction.

  • Follow up on all client needs and inquiries in an efficient and expedient manner.

  • Focuses on revenue-generating activity and maximizes selling time through retaining accounts/clients, maximizing account yield opportunities and sales effectiveness.

  • Detail and up-sellevents with the client including; verification and modification of space requirements, audio-visual, times, equipment, menus, themes/decorations, etc. Prepare the appropriate resumes and paperwork to ensure quality service.

  • Manage function details and related activities to ensure that program requirements are satisfied. Anticipate and handle customer complaints and/or problems to ensure quality product delivery, customer satisfaction and repeat business.

  • Achieve a minimum of 90% of productivity goals and 100% of activity goals, as established by management.

Qualifications

Education/Formal

Training Minimum of high school diploma or equivalent.

Experience

One year minimum hotel sales or catering experience.

Knowledge/Skills

  • Requires knowledge of general sales techniques.

  • Yield management experience required.

  • Requires highly developed customer service skills. Strong follow-up and guest satisfactions skills.

  • Understand and follow verbal/written instructions.

  • Work on more than one task at a time.

  • Develop strong internal and customer relationships.

  • Set and manage priorities and plan activities in advance.

  • Solve problems and make sound business decisions.

  • Respond to coaching, feedback and training.

  • Must be detailed oriented.
