Job Overview
The Group Services & Sales Manager is responsible for managing the detailing process for all aspects of assigned group contracts booked through the sales team, enforcing the terms of group agreements and guiding clients through the planning process. As well as have a part proactive selling role with assigned group markets. The split is about 75% servicing and 25% selling. 75%: Plan, organize and manage the details for all group and banquet bookings (i.e. guest rooms, billing, BEO’s, menus, diagram, etc.) and ensure maximization of room and meeting space, revenues, and profits while delivering quality service. 25%:create revenue for the hotel by generating and developing new, referred, and repeat group & banquet business in a defined territory and market through strategic prospecting, solicitations, direct sales calls, site inspections, client entertainment, sales missions and tradeshows.
Responsibilities
ESSENTIAL RESPONSIBILITIES
Group Servicing:
Manage definite group bookings (with and without banquet contribution) that are turned over by the sales team; organize bookings from date of contract signing to departure, including meeting & event requirements, rooming lists, billing, guest room pickup, cut-off dates, food & beverage planning and audio visual needs.
Establish and maintain rapport with clients, prior to, during and post program, encouraging repeat business. Constant presence and availability to client before, during, and after group program.
Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.
Finalize the requirements of confirmed bookings with the client while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
Develops strong client relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
Plan and/or attend and/or participate in meetings with hotel staff and clients, including Resume Meeting, BEO Meeting, Sales Meeting, Pre-Convention Meeting, Planning Visit and Menu Tasting.
Oversees all billing details for hotel groups to include processing of deposits, direct bill applications, credit card authorizations and coordination with accounting.
Maintain well documented, accurate, organized and up to date file management in order to serve client and the employer in the most expedient, organized and knowledgeable manner.
Close out all groups to include pickup and commission owed, including processing with accounting.
Group Sales:
Targets results-oriented high revenue potential sales calls to ensure a successful direct sales program, in accordance with goals established by department budget and marketing plan.
Develop and execute sales action plans to close on targeted accounts and or business within a market segment.
Prospect, research and solicit group & banquet business, in assigned vertical markets.
Conduct site inspections, client visits, actively entertain, as well as plan and execute travel schedules to key feeder markets and tradeshows.
Maintain positive relations and high visibility in relative business organizations. Promote the Hotel through regular industry involvement and exposure at local and/or national events.
Comprehensive knowledge and awareness of the Hotel primary market, its surrounding areas and resources.
Negotiate rates, create & issue negotiated group contracts.
Deliver creative and impactful sales presentations, with excellent knowledge of all facets of the hotel and location.
OTHER RESPONSIBILITIES
- All other duties as assigned, requested or deemed necessary by management.
SUPERVISORY DUTIES
Indirect supervision of Sales Coordinator.

Qualifications
Education/Formal Training
Minimum of high school diploma or equivalent.Bachelor's Degree, preferably in business administration, marketing, or hotel management is a plus.
Experience
Minimum of 2+ years in hotel sales management in similar position.
Prior sales experience in a Los Angeles full-service lifestyle, luxury or boutique hotel preferred
Knowledge/Skills
Requires a working knowledge of banquet food and beverage services, policies or operations.
Supervisory skills needed.
Excellent organizational skills and attention to detail required.
Ability to multitask and have excellent time management skills.
Must be courteous and gracious, maintaining a professional demeanor at all times
Must be a technically skilled business professional who is willing and able to find innovative solutions and process improvements while maintaining expenses.
Excellent interpersonal and negotiation skills, has high energy and enjoys working with people.
Must be positive, result oriented and able to work well under pressure and guidelines.
Must be able to work well with a diverse group of team members, including Sales Managers, banquet staff, department heads and supervisors.
Able to handle a large volume of guest interactions in an efficient and courteous manner.
Expertise in Microsoft Office, Internet, Outlook and Delphi are required
