Job Overview

Responsible for coordinating all activities related to Sales & Catering systems.

We’re looking for a high-energy individual to manage and “quarterback” the implementation, training and ongoing support of Sales & Catering systems. For new properties, you will coordinate with Marriott, Starwood or Amadeus to install the appropriate Sales & Catering system (e.g., CI/TY, ISAC, Delphi), migrate contacts and contracts to the new system, train the group sales teams and share Sage Hospitality best practices around the creation of contracts, resumes, BEOs and all sales related reports. For existing properties, you will keep group sales teams informed of web-based training opportunities, system upgrades and enhancements, system outages, and Sage Hospitality best practices around the creation of contracts, resumes, BEOs and reports.

Additionally you will serve as the liaison between Sage Hospitality and the various system vendors and the liaison between the corporate sales team and other corporate departments such as Finance, IT, and Business Intelligence.

Responsibilities

Implementation and Setup

  • Coordinate with sales system vendors and third-party consultants to implement and configure new system deployments, including transferring of data and integrations to other systems including integration to Delphi FDC, and transitions to other brand systems as needed (e.g., PMS, RMS, Sharp, ISAC, CITY, Hilton, Financial Systems)

  • Project manage these implementations from a time, staffing and budget perspective to ensure that all deployments have a designated due date and occur on-time and on-budget.

  • This role may require travel from time to time especially with new builds and transitions.

Training

  • Deliver comprehensive training to Group, BT, Catering teams as well as DOSM in advance of hotel openings or transitions

  • Provide direction for new Sage associates on sales systems by directing them to vendor-provided training materials and courses as needed

  • Provide all Sales teams/associates with direction on “how to” navigate the library of training documents, videos, job aids, etc. to ensure that associates have access to the training materials necessary to complete Group Sales functions

  • Provide recommendations for advanced training where applicable and help Sage associates plot learning paths so that sales system skills remain fresh and relevant this may include monthly/qrtly webinars

  • Facilitate training on all Sage month end reporting and goal setting workbooks to include monthly/qrtly webinars or team and one on one instruction

Support and Maintenance

  • Project manage all upgrades, transitions, integrations, data conversions, and system replacements for sales systems

  • Compile and maintain inventory of sales software and systems assets and their corresponding contracts/agreements

  • Field incoming request tickets from Sage Sales Helpdesk to resolve sales system issues. Provide a 24 hr. response time with a projected completion date.

  • Record, track, and document the problem-solving process to build out a knowledge repository

  • Post software updates, drivers, knowledge bases, and frequently asked questions resources on company intranet to assist in problem resolution

  • Provide troubleshooting documents for Tier 1 help desk to allow the Operations team to better support the sales applications

  • Prioritize, schedule, and administer appropriate change management for all instances where enhancements and defect resolution are required

  • Test fixes and perform post-resolution follow-ups to ensure problems have been adequately resolved before sending out to the field.

  • Apply diagnostic utilities to aid in troubleshooting before field distribution

  • Communicate sales application issues to key stakeholders, including management, vendors, end users, and unit leaders in a timely manner

  • Identify and master appropriate software applications used and supported by the organization

  • Coordinate with department heads to assess departmental application training needs and objectives

  • Manage user level application access and auditing of access for all sales tools

  • Responsible for leading change management around the sales systems function including focus group discussions, system requirements gathering and documentation, buy in from stakeholders across the organization, and ensuring appropriate training, etc.

Reporting and Analysis

  • Assist all Sales teams with all reporting needs including Sales Pace reports, funnel tracking, and ad hoc reporting requests including monthly webinars

  • Responsible for standardizing roll up of market driven data for Sage i.e.: market vision or market specific data for properties in order to provide better sales target Intel.

  • Create a library of standardized market vision reports for property use as needed.

  • Extract data through MPE based controls and provide support to hotels on analyzing this data

  • Help standardize system reports across Sage properties and ensure that metrics and data definitions remain consistent including the creation of accurate sales reporting tools to include incentive plans, pace reports, EOM reports, Sage roll up pace reporting, star analytics (must be proficient in excel with an advanced skill set to create formula driven documents with accuracy)

  • Partner with Business Intelligence team to create automated reports where possible

  • Create and distribute sales trend reports such as pace roll ups, space usage, productivity roll ups and segmentation analysis

  • Provide relevant brand data to assist in sales

  • Create group and catering forecasting tools.

  • Create STR and other sales-related performance trends Strategy and Planning

  • Ensure that Sales & Catering systems meet business requirements and systems goals, fulfill end-user requirements, and identify and resolve systems issues

  • Establish a Sales & Catering system roadmap for the organization including supporting operating and capital budgets.

  • Create and deploy feedback mechanisms for end users. Analyze results, make recommendations for support process improvement, and implement changes.

  • Evaluate documented resolutions and analyze trends for ways to prevent repeated future problems.

  • Vendor management of all sales application and service vendors including: negotiation of contract terms, escalation of issues, scheduling of resources, representing Sage’s interest in future application functionality, etc.

  • Work with the Property Technology and Infrastructure and Security teams to ensure existing and future applications will work as expected within the Global Office and Property Environments

  • Work with the Enterprise Application team to ensure the sales system roadmap is in alignment with other Application roadmaps

  • Involved with the development of the Application Management standards for Sage Hospitality and responsible for adherence to these standards across the sales applications

  • Effectively manage and engage in multiple initiatives simultaneously

Qualifications

Education/Formal Training

  • Bachelor’s degree required

  • Undergraduate degree in Hospitality Management, Business, Marketing or Communication preferred

  • Project Management certifications preferred

Experience

  • 3+ years of recent hands-on Sales & Catering system experience required

  • Prior vendor management experience preferred but not required

Knowledge/Skills

  • Hands-on experience with Sales & Catering systems (e.g., Marriott CI/TY, Starwood ISAC, Amadeus Delphi)

  • Hospitality group sales experience preferred

  • Hospitality food and beverage experience preferred

  • Formal project management training and certification (e.g., PMP) preferred

  • Experience with business intelligence reporting tools preferred

  • Expert skills with MS Excel
