Job Overview

To assist the sales managers in obtaining customer satisfaction by performing clerical and administrative duties relating to guest and hotel communications and sales.

Responsibilities

The Sales Coordinator is responsible for supporting the administrative needs of the sales efforts including but not limited to:      

  • Collecting & posting payments working with CSM

  • Maintaining sales files and accounts while working in Delphi or (triple seat) daily producing proposals, contracts , bookings, notes, etc. keeping updated daily

  • Delphi Administrator

  • Supports Wedding and events manager daily.

  • Assisting, when necessary, with on-site tours & client interactions

  • Assist DOS&M where needed.

  • Answering inquiries via phone in a professional, friendly, outgoing manner and collecting pertinent information on incoming calls

  • Orders office supplies etc...

  • Supporting the needs of the marketing team (where necessary) which includes but are not limited to-

  • Social media posting (s)

  • Reviewing and replying to reviews at the direction of the DOSM

  • Assist with coordinating marketing materials as needed     

  • Working closely with DOSM on marketing initiatives (website)

  • Any other initiatives as directed by DOS&M

Qualifications

Education/Formal Training

A four-year college degree or equivalent education/experience.

Experience

Previous sales, hospitality, and/or secretarial experience preferred.

Knowledge/Skills

  • Advanced knowledge/use of Microsoft Word applications: Word, Excel, Publisher and PowerPoint

  • Standard business letter formats.

  • Strong editing skills

  • Excellent communication skills necessary to communicate clearly with customers and other departments by phone or in person

  • Ability to read contracts and letters

  • Excellent attention to detail and multi-tasking skills
